Late Cancellation and No Show Policy
What happens — and what providers are paid — when a family cancels late, no-shows, or a child is sick.
Late Cancellations
If a family cancels a session less than 24 hours before the scheduled start time, a late cancellation fee applies. Providers receive $45 for late cancellations to compensate for reserved clinical time that cannot be rebooked on short notice.
No-Shows
A no-show fee applies, and providers receive $45, if no one is home at the scheduled session time, the child is not awake, or the child is not physically present when the provider arrives. Document no-shows promptly in the platform.
Sick Child Policy
If the family notifies Coral Care by 8:00 a.m. on the day of the session that the child is ill, the late cancellation fee is waived — even for morning sessions. Services may resume once the child has been fever-free for 24 hours without fever-reducing medication and free from vomiting for at least 24 hours.
Provider discretion: if you arrive and determine the child is too unwell to safely participate, the session may be canceled and may be subject to the late cancellation fee, with $45 paid to you. Document observations clearly in the visit notes.
Circumstances Outside Anyone's Control
For severe weather, road closures, power outages, or emergencies, fees and provider compensation are assessed at Coral Care's discretion, with the goal of being fair to both families and providers.
Repeated Same-Day Cancellations
If a family shows a pattern of frequent same-day cancellations or no-shows, the Coral Care team may proactively reach out to the family and discuss alternative scheduling options or care plans.
